German Consulate Palma: Appointments, Responsibilities and Passport

If your German passport is expiring, you need a signature certified, or your ID card has been stolen – the German Consulate Palma is the first port of call for all German nationals in the Balearic Islands. It is responsible for the whole of Mallorca, Menorca, Ibiza and Formentera, and for several years now practically every visit has only been possible via an online appointment system. In this guide you'll learn how to get an appointment, what documents you need for a passport and ID card, when you can come by without an appointment, what to do in case of loss or theft, and which mistakes unnecessarily delay the visit.

Address, contact details and area of responsibility

The consulate is located in the Edificio Reina Constanza in the Porto Pi district, not far from the Paseo Marítimo. Due to construction work on the Paseo Marítimo, there are currently no parking spaces in the immediate vicinity – plan for a somewhat longer walk to the entrance. The Consul is Wolfgang Engstler, and the official languages in the district are Spanish and Catalan.

The consular district covers exclusively the Balearic Islands. For Germans on the Spanish mainland, either the Embassy in Madrid or the Consulate General in Barcelona is responsible, depending on the region – more on this in the section below.

Making an appointment: how the online system works

A spontaneous visit is not possible at the Consulate Palma – with a few exceptions (collecting completed documents, emergency travel document in case of acute loss), an appointment via the Federal Foreign Office's online appointment system is mandatory for every matter. The system is free of charge and accessible round the clock, but distinguishes between two separate categories:

Note: Only one person's application is processed per booked appointment. If you're applying for passports for several family members, you'll need a separate appointment for each person.

If you need an appointment at short notice due to an urgent trip, it's worth checking the booking system regularly: the consulate releases additional short-notice appointments at irregular intervals. If you can't make a booked appointment, cancel it in the system or via the contact form – a lapsed appointment cannot be redeemed retroactively, and later admission is generally not possible.

If your request doesn't fit either category, contact the consulate via the contact form and provide your phone number so they can call you back if needed.

Applying for a passport and ID card

Before booking an appointment, you should check the consulate's website to see which documents are required for your request – incomplete applications will not be accepted. As a general rule: all documents must be submitted in the original and additionally as a copy.

1. Check the consulate's website to see which document is right for you (passport or ID card differ in validity and purpose).
2. Print out the appropriate application form and fill it in completely.
3. Book an appointment online under the category "Passport/ID card" – only if you actually have all the documents in original.
4. Bring the original and a copy of all required documents to the appointment, as well as a current biometric passport photo.
5. Pay the fee on site in cash or with a physical credit card (Visa/Mastercard).

Attention:According to reports from expats, the waiting time for an available appointment can be several weeks, and it often takes several more weeks for the finished passport to arrive in Palma. So plan ahead in good time – ideally several months before your current document expires – rather than shortly before a trip.

Collection without an appointment: use the time slot

Once your new passport or ID card is ready, you don't need to book a second appointment for it. Collection is possible without an appointment:

Loss or theft: what to do without ID?

If your passport or identity card has gone missing and your return journey is imminent, in many cases you won't even need to contact the consulate. Requirement: you have a copy or scan of your ID (a photo on your phone will do) as well as a loss report from the Spanish police.

1. File a loss report immediately – at any police station or with the Policía Nacional at Palma airport.
2. Check whether you have a copy or image of your ID (phone, email, cloud).
3. If you don't have a copy, ask at the hotel reception, with the tour operator or the car rental company – they often have a scan of your ID on file.
4. If you can't find a copy, contact the consulate via the contact form to apply for an emergency travel document for your return.

Telephone availability and contact form

Unlike some larger missions, the Consulate in Palma offers fixed telephone consultation hours – separated into passport matters and general consular enquiries.

For anything that can't be resolved by phone, use the contact form on the consulate's website. Always provide your phone number – this way the team can reach you with follow-up questions without you having to call again yourself.

Payment at the consulate

You can pay consular fees – for example for a new passport or a certification – at the Consulate in Palma in cash or by credit card.

Please note:Only Visa and Mastercard are accepted, and the card must be physically present at the time of payment. The card number and cardholder's name must be visibly printed on it. Payment via smartphone or smartwatch (Apple Pay, Google Pay) is notpossible. You can find an up-to-date fee schedule directly on the website of the German Federal Foreign Office.

Jurisdiction: Palma, Madrid or Barcelona?

Not every German matter in Spain is handled through Palma. Jurisdiction is determined strictly by place of residence or place of stay.

If you live or holiday in the Balearic Islands, Palma is the right choice for you. If you apply for an identity document at a representation or honorary consul that isn't responsible for you, higher fees generally apply according to the Federal Foreign Office – another good reason to go through the consulate that's actually responsible.

Most common mistakes when visiting the consulate

• Appointment booked without complete documents: If originals or copies are missing, the application won't even be accepted – the appointment is then forfeited.
• Arriving too late: Late admission is generally not possible; even a delay of just a few minutes means the appointment is forfeited with no replacement.
• Planning to pay with a smartphone: Without a physical credit card or cash, nothing can be paid for on site.
• Booking the application appointment too close to a trip: Anyone wanting to renew their passport just a few weeks before a planned flight can easily run into time trouble due to waiting and delivery times.
• Wrong appointment category booked: Birth registrations or declarations of name cannot be booked under the "Passport/ID card" category, but only under "Family matters".

What happens after submitting the application?

After your application is taken at the consulate, your document is produced in Germany and then delivered to Palma. Once it has arrived, you can collect it without a new appointment during the time window Monday to Friday, 8:30–9:15 am. For other matters such as a renunciation of inheritance or a certificate of life, the consulate will usually inform you directly as soon as processing is complete.
